HEYDAY POLICIES
We take forfeits very seriously at Heyday. Registration is a commitment and we expect teams to play all of their scheduled games and be respectful of their opponents' commitment and expectations. Failure to attend a scheduled game deprives other teams a portion of their season causing great disappointment & frustration involving travel time and the disruption of personal schedules. Please be respectful members of the Heyday community and be courteous to your fellow league members! Captains are responsible for confirming team attendance each week in advance so that proper notice can be given if a forfeit is absolutely unavoidable. Each forfeit will be handled on a case-by-case basis & Heyday has the right to exercise the penalties as necessary.
Heyday requires notice for all forfeits. Any Monday-Friday League forfeit after 3pm will be considered late or no notice. Saturday/Sunday forfeits with less than 24 hours notice will be considered late. (Forfeit notifications do not automatically negate the Heyday forfeit policy fee. See below for more information)

Penalties for Forfeits:
- The forfeiting team will be charged for both teams' official fees for ALL forfeits. (Captains will be billed manually by Heyday Administration).
- Loss of Standings Point in Overall League Standings.
Additional Penalties for Late or No Notice:
- Potential loss of Playoff opportunity.
- Leagues where only the Top 4 teams play for a Championship, teams will be charged $50 for any forfeited game. (Captain will be direct-charged to credit the opposing team).
- Leagues split into multiple divisions operate under this policy.
- An opposing team forfeited against in the Regular Season has the right to take a game from the offending team later in the season to complete their full number of scheduled games. (long season formats only)
- $50 Fee charged during Final Week of Regular Season.
- Not applicable in a tournament style playoff bracket format & opponent advances to the next round.
- Continual forfeits may result in removal from the league.
Heyday does NOT schedule league games on the following dates:
- Super Bowl Sunday (after 4pm Only)
- Easter Sunday
- Memorial Day Weekend (Fri-Mon)
- Independence Day (Fri-Sun will also be taken off if holiday falls on a Thur-Mon)
- Labor Day Weekend (Fri-Mon)
- Thanksgiving Weekend (Wed-Sun)
- Christmas Eve Day through New Years Day (additional days may be taken if holidays fall on a weekend)
*Additional days may be observed if league schedules permit and have sufficient rain dates
All games will be officiated by referees, umpires and monitors coordinated by Heyday. By restrictions and requirements of Pennsylvania Law, officials are not employees of Heyday or paid by Heyday. Compensation for officials is to be provided by participants on-site before the game starts for the services they provide as independent contractors. The recommended payment method is Venmo, a FREE mobile money exchange service allowing account holders to send and receive money using their smartphone. Officials will not start a game until fees are paid in full; they reserve the right to cancel any game due to non-payment. If a team forfeits, the team that forfeits is responsible for payment of both teams' fees in order to remain eligible to participate in subsequent weeks (captain will be invoiced/billed). You will be notified at the beginning of the season the exact league fees.
Payment Guidelines:
Below are some tips to help make paying Officials' fees fast and easy to help games get underway as soon as possible.
-All Heyday Officials will have Venmo accounts making transactions very convenient and eliminates the need to carry/collect cash.
-Prior to the start of the season, captains or a voluntary/elected team representative can collect fees on a per-player basis in a Venmo account for the entire season or multiple weeks in advance if a team expects steady attendance.
-When seasonal fees are collected internally by a team in a Venmo account, players can easily send and receive their individual weekly amounts of total team fees requiring one single transaction with the official each week.
-Heyday recommends paying your weekly share whether you play or not as a committed rostered player to encourage healthy attendance.
-Fees can be paid in any combination of Venmo funds or cash, no personal checks will be accepted.

Registration is a commitment. League spots are subject to availability (Heyday observes a strict first come first served policy) and are secured only upon completion of online registration including payment. By registering, you are reserving one of a limited number of spots and your dedication to participate on a weekly basis is critical to the league's success. For each registrant, we place a custom shirt order matching individual player profiles and assigned colors, turn away other potential players/teams and rent time at facilities specifically based on final registration levels at the time of the deadline to establish evenly distributed teams. For these reasons, registering for a league comes with a responsibility to play an active role in the spot you filled and in support of that commitment, fees are generally non-refundable. No exceptions can be made beyond the policies below:
-14+ days prior to originally advertised registration deadline: Refundable contingent on replacement.
-13 days prior to deadline through 1st week of season: Refundable minus $15 cancellation fee per player (contingent on replacement).
-After first week of season no refunds will be processed for withdrawal.
***COVID-19 exceptions***
-Should a participant test positive for COVID-19 they are to report the diagnosis to Heyday Athletic for contact tracing, stay home and follow quarantine procedures according to the CDC and their physician or undergo treatment. A prorated credit will be issued if the participant is unable to return to their activity and a negative diagnosis cannot be achieved before the activity schedule concludes. Credits do not expire.
-If a participant learns of a possible exposure from a teammate or opponent they should follow quarantine procedures according to the CDC and their physician. If quarantining is advised and symptoms present during the quarantine period, the participant should seek testing and treatment and the above would then apply as a COVID-19 positive participant.
-If a registrant seeks to withdraw at any time prior to week 2 of the season after testing positive or out of elevated concern surrounding COVID-19 or because the activity is postponed due to a closure mandate: registration fees are refundable contingent on replacement or if a replacement cannot be found or that option becomes unavailable due to permanent cancellation, a full credit will be issued or prorated if week 1 was completed. Credits do not expire.
-After the 2nd week of a season, no refunds will be processed for withdrawal or cancellation. If there is a closure mandate due to a pandemic health emergency after the 2nd week of a season, play will resume after the mandate is lifted. If the postponement extends beyond 3 weeks, prorated credits will be issued upon request for any withdrawals after 3 weeks and if the season is canceled all registrants will automatically be issued prorated credit for the remainder of the season.
Captain's Only:
Registering a team as a captain requires the fulfillment of advertised minimum roster requirements and reserving at least that number of spots with payment at the per player team rate. 0-X (X being minimum) spots are non-refundable without replacement*. Additional players beyond the minimum required are eligible for full refunds prior to the deadline. Post-deadline, additional player spots beyond the minimum required are non-refundable.
*Refund may be processed if Heyday is able to replace minus a $15 cancellation fee per player. In addition, refund will be prorated for any weeks the replacement player has missed.
+Processing fees are non-refundable under all circumstances.
Warning to Captains! Captain registration has benefits (rewards, shirt upgrades, controlled roster) but there is also financial risk. Captains are encouraged to independently collect individual team player fees prior to or immediately after registering a full roster to avoid any losses should spots on the team remain unfilled or unreimbursed due to unforeseen withdrawals, cancelations or closure/credit situations.
Weather:
In the event that weather causes a league to be canceled three or more times during one season, Heyday reserves the right to shorten the season with no refund.
So, your team needs a sub for the game? No problem, we allow teams to use substitute players for any league (except playoff games)!
-Substitute players are permitted to participate in one game by registering prior to the game time (before 2pm Friday for weekend games).
-Subs are required to check-in with a Referee or League Manager prior to playing.
-You must wear your own shirt close to the team color.
-Players may not sub more than 2 games per season. Each time will require a separate registration - Please email us at [email protected] if this is your second time as a sub in 1 season.
-Subs are prohibited from all playoff games.

-Individual players must pay their team fee in full to register
-Registration is subject to availability and league details including schedule and locations are subject to change.
-Captains: All teammates are required to register as Team Players prior to the deadline to be eligible, receive a league shirt and avoid a late fee.
-Schedules are posted 3-5 days prior to the league's start date.
-Based on facility time constraints and number of teams in each league, some teams may be subject to double headers throughout the season.
-League teams are responsible for paying referee fees prior to games for ref leagues.

-Submit the form above to order a league shirt - see below for more details on Heyday's shirt policies.
-Only registered players are permitted to play in Heyday Leagues. All registered members will receive a Heyday League Shirt at the first game according to the size in their online player profile. Your shirt acts as your Heyday ID and informs our referees that you are a registered member and eligible to participate.
-Late registrants who sign up within a day or two of the start date may not have a shirt available at the first game. Shirts are required and replacement or late shirts must be ordered by submitting our Replacement/Late Shirt Order Form along with any required fees. Late/replacement shirt orders will be delivered to the league location and stored with league equipment in a labeled envelope within 1-2 weeks. Therefore, if you registered very close to the start date or after, be careful not to take someone else's shirt from those provided at the league the first night.
Regular Season:
Participants must wear Heyday League Shirts to all games. If you do not wear your shirt to a regular season game, a Heyday Ref will ask for ID to confirm paid membership. Failure to wear your league shirt more than twice per season will result in a deduction of 1 Standings Point for your team. Teams that fail to wear Heyday League Shirts will receive forfeit losses and be subject to removal from the league without a refund.
Championships:
All players are required to wear their league shirt to participate in championship games. No shirt, No play, No exceptions.
Tournaments:
All players are required to wear their tournament shirt to participate in Heyday tournaments. Any player who registers within 72 hours of a tournament is not guaranteed an official tournament T-shirt.
Customization:
Teams are allowed to customize Heyday league shirts such as adding text, numbers, images, patches or cutting up as long as you adhere to the following requirements:
-No Company Names/Logos (contact [email protected] for information on adding company logos).
-No Offensive Language/Images.
-No modification or obstruction of the Heyday Logo.
When a game is canceled due to inclement weather or a facility conflict, teams will be notified by email. If it's close to your start time, the official at the venue will contact the on-call Staff Member to give an update on current weather/field conditions. In the event of lightning, games will be halted for 30 minutes. Games may be delayed or postponed until later in the evening or once the storm passes. Players will be given a directive by the onsite official, as to where they should go during a storm with lightning. Games may resume once the storm passes & players should be prepared to wait out the storm if necessary. During such instances, the Heyday on-call staff member will be in regular contact with the game official.
Due to limited rain dates, Heyday makes every effort to play unless there is severe weather and the field conditions are acceptable.
In the event a season is canceled 3 weeks or more in one season due to poor weather, Heyday reserves the right to shorten seasons with no refunds.
